Everyone in business needs to write letters. It’s unavoidable if you want to run your business or just stay in touch with your suppliers and clients. How well … or not so well … you write reflects on you and your business. Write poorly constructed letters with unprofessional layout and format and you will look like a rank amateur, no matter how good you are at plumbing, cooking or whatever it is you do.

If you are a seasoned letter writer who has completed a business communication course, this series of articles is probably not for you. It will help, however, if you haven’t been educated in communication skills. You will be able to improve your writing very quickly just by following a few simple rules.

Letter Format

The easiest, quickest and most efficient letter format is known as “full block” or simply “Block”. A block letter has all its text left justified ie, there are no indents. This method is very popular because it is simple to produce. Here’s an example using Australian address formats – modify it for your own country:

Whether you use Letter or ISO A4 paper, this format looks good and saves time. Your paper needs to have a border all round of 2.5cm (1″) and you should endeavour to place the total content of the letter so that it is symmetrical on the page ie, don’t have more text in the top half of the page than on the bottom half. A balance of black and white and good position on the page makes the letter look good.

You’ll see that there is no punctuation except within the body of the letter. This is called ‘open punctuation’ because the text is open where punctuation doesn’t add significantly to the reader’s understanding of the letter.

Using Letterheads

Some letterheads I see are poorly designed. While they look good from a graphics and colour perspective, the flow between logo and letters is poor eg, when you run your eye down the left column, there is no, or poor alignment between text and letterhead elements.

If you design a letterhead page that is left or right justified, design it so that the left most portion of the letterhead graphic or text is 2.5cm (1″) in from the left or right sides. The best design is one that is centered on the page. This is because it doesn’t ‘force’ a right or left margin allowing users to set margins of any width that still appear balanced on the page. When you have a short letter you can bring your left and right margin in a little to make the text area look larger.

There are two options: You can find an advertising agency or a graphic design firm OR you can look for a firm or studio that specializes in medical graphic design. Specializing in medical graphic design has the edge of both concentration and extensiveness in creating graphic design that attracts appropriate clients.

So, what services are you looking for?

Medical Illustration

Medical illustration is an important element of medical graphic design. As important is the presence of a professional medical illustrator or a medical illustrator who is a member of the Association of Medical Illustrators. You can check their portfolio online or ask to see it if they don’t have a website.

Medical Animation

You may want to use animation in describing your product or service either through 3-D animation or Flash for your web site. Make sure that the graphic design firm is an expert in online rapid downloads and can produce CD’s and DVD’s for marketing and sales purposes. Choose the medical graphic design studio that has a resident medical animator or a relationship with one they use often.

Medical Web Design

Your web site can be your most important marketing tool so pay attention to its design and optimization. A good medical graphic design studio has success stories and previous clients that did well in Internet searches. You can evaluate the medical graphic design firm by assessing its website.

Medical Print Design

Look for a medical graphic design studio that has the skills in converting 3-D description into 2-D graphics and still enables your product to showcase the benefits it has for the target audience. It should be all about benefits, that is, what’s in store for your prospective customers. You know you’re hitting the right firm when looking at the brochure makes you curious about the product or eventually buy it.

Photography for the Medical Graphic Design Field

Choose the medical graphic design studio that has a resident medical photographer or a connection with medical photography resources. You can assess the studio based on its portfolio or consult their previous clients on how this studio fared with the service they provided.

Narrow down your choices to two to three firms then ask for their references. Call each one of them personally and take time to understand what they think about the services they have received from the firm. The following are examples of the questions you may want to ask.

o How satisfied were they with the services provided by the firm?

o Did the services or products were done as desired?

o Did the firm deliver the services to them on time?

o Would they want to work with the firm again? Why or why not?

Take a look at the results of your inquiry, and then rate each of the firms on a scale of 1 – 5. You will then find out that a leader is starting to surface.

How do you get new inspiration for your business website? How can you rapidly develop a template graphic design? With so many options out there, including layout, colour, and hundreds or thousands of font types, it can be like trying to pick a tree in the woods. You can end up running round in circles, getting nowhere fast, and the options can seem mind-boggling.

One way to get inspiration for your new website is, obviously, to have a look at other websites online. Check out your competitors websites, and websites relevant to your business niche. You can make a list of the elements on those websites that you particularly like, or would like to include in your web design.

Graphic Design

When developing a graphic template for your new web design, a good place to start is with colour. Decide on a primary colour, then use lighter or darker shades of that primary colour and/or a complimentary colour that goes well with the variations of your primary colour. Once you’ve made your colour decision, think about creating a pleasant, clean design, that makes it easy for your visitors to find their way around your website. Don’t use huge images or photographs as background images, as this will slow your site down. You want your pages to load quickly, this is now slightly more important than it was in the past, due to a recent Google update.

Make sure that the images you use makes sense in terms of the text content that you use on your website design. A great website to use that this is iStockPhoto, which allows you to search for images by category and has thousands of high-quality images that you can use on your website. You can even download example images to use in your layout design before purchasing them for a few dollars each.

Make sure your webpage is designed with modern accessibility standards in mind. Currently, XHTML and CSS are the flavours of choice in terms of laying out your web page for Internet browsers. You can go to the W3C validator web page to check there are no major errors in your web design.

You really want your homepage to be the primary focus of your main keywords, or keyword phrases for your business. Make the navigation consistent across all pages of your website so that a user will find it easy to navigate back to the homepage and to other areas of the website – and try to make sure that a user can reach all the pages on your website within three clicks of the mouse from the homepage.

Having made all the decisions about colour and layout, you can proceed to lay out your graphic design in the image editing program of your choice. Popular programs include fireworks, photoshop and the popular free image editing program called GIMP. If this is your first web design, and then gimp may offer all the functionality you require. A common size for webpages is currently around 1000 pixels by 800 pixels, once you’ve laid out all the elements of your webpage and a graphics editor, use the splitting or splicing function within that program to output the elements in the correct format for an HTML page.

You can then use the outputted HTML from your graphics program to produce multiple pages from this template. Popular HTML editors include Adobe Dreamweaver, Note Tab pro, and free editors such as Coffee Cup.

Using the individual graphics programs, and HTML editors is well beyond the scope of this article, but there is lots of online help, communities, and forums out there to help you on your way.
